Connexxione ABN 33 683 634 282 (referred to in this policy as us, our or we) care about your privacy so we have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

This policy outlines our ongoing obligations to you in respect of how we manage your Personal Information. As a software company that collects and processes personal data through our website, contact forms, and cloud-based services, we are committed to protecting your privacy and complying with our obligations under the Privacy Act, including the Notifiable Data Breaches (NDB) scheme.

1. What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, email addresses, phone numbers, job titles, company details, and any other information you provide to us through our website or services.

This Personal Information is obtained in many ways including written, telephone and email correspondence, via our website (www.connexxione.com), from other publicly available sources, from cookies and analytics tools, and from third parties. We don't provide any guarantees in relation to websites, links or policies of authorised third parties from whom we obtain Personal Information.

We collect your Personal Information for the primary purpose of communicating with you, providing our services to you, responding to enquiries, and marketing specific to the services we offer. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.

When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

2. Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

  • Where reasonably necessary for the primary purpose for which it was obtained;
  • For a secondary purpose that is directly related to the primary purpose; and
  • With your consent, or where required or authorised by law.

We do not knowingly collect sensitive information unless it is necessary to provide our services or you have consented to its collection.

3. Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

4. Disclosure of Personal Information

Your Personal Information may be disclosed in a number of circumstances including the following:

  • Third parties where you consent to the use or disclosure;
  • Service providers and cloud hosting partners that assist us in delivering our services (such as Microsoft Azure and Microsoft 365), who are bound by confidentiality and privacy obligations;
  • Where required or authorised by law.

We take reasonable steps to ensure that any third-party service providers we use are bound by appropriate privacy and security obligations and handle your Personal Information in accordance with the Privacy Act.

5. Data Storage and Cross-Border Disclosure

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure. We use cloud-based infrastructure, including Microsoft Azure, which may store data in data centres located outside Australia.

Where we disclose Personal Information to an overseas recipient, we will take reasonable steps to ensure the recipient does not breach the APPs in relation to that information, in accordance with APP 8. We will inform you where we are likely to disclose your Personal Information to an overseas recipient and the countries in which they are located, where practicable.

6. Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure. We maintain appropriate technical, administrative and physical safeguards including encryption, access controls, and regular security reviews.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

7. Data Breaches

We have procedures in place to detect, assess, and respond to suspected data breaches in accordance with the Notifiable Data Breaches (NDB) scheme under the Privacy Act. Where we determine that a data breach is likely to result in serious harm to an individual, we will notify the Office of the Australian Information Commissioner and affected individuals as required by law.

Our website may use cookies and similar technologies to collect information about how you use our site, to improve user experience, and to analyse website traffic. We may use third-party analytics tools that collect information about your use of our website. You can control cookies through your browser settings; however, disabling cookies may affect the functionality of our website.

We will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information we may require identification from you before releasing the requested information.
